How-To Guide

Running sold jobs from sale to payment

Who: Office staff, admins, and project managers · Module: Operations module · About 5 minutes

  1. 1

If the job came from a signed estimate, open the estimate and use Send to Sold Jobs — the customer, address, sale amount, and salesman carry over automatically, so nothing is re-typed. For a job entered by hand, open the Sold tab and tap New Sold Job, then Save Sold Job.

  2. 2

Add photos, documents, and the contract file to the job card so the crew has everything in one place.

  3. 3

The office taps Mark Received on the job card — that is the signal to the salesman that the office has received and processed the job.

  4. 4

As work approaches, put the job on the Schedule — crews see their assignments and can open the job from there.

  5. 5

During production, open the job to add production notes and photos, grouped as production photos, permits, dump tickets, receipts, or payments — each stamped with the capture time and location.

  6. 6

When the work is done, mark the job Completed, then mark it Paid once payment is collected — paid jobs can also be pushed to QuickBooks.

  7. 7

Add a Breakdown on the job card to track material, labor, permit, and dump costs against the sale price.
